Privacy Policy

Last updated: 10 October 2026

Derek Elder ("we", "us", "our") is committed to protecting the privacy of everyone who visits derekelder.com. This policy explains what information we collect, how we use it, and the choices you have.

Derek Elder is the data controller for the personal information you share through this website. If you have any questions, contact us at info@derekeldercoaching.com.

This policy covers derekelder.com and the Client Portal we provide to our clients.

Personal and Non-Personal Information

We collect two types of information. Personal information is anything that identifies you, such as your name, email address, phone number, the organisation you work for, and anything you write in a message or enquiry. Non-personal information does not identify you, such as your browser type, device, and the pages you visit.

What is Non-Personal Information and How is it Collected and Used?

When you visit this website, some information is collected automatically by our hosting provider, including your IP address, browser type, device type, referring website, and the pages you request. We use this information to keep the website running, fix problems, and protect it from misuse. It is not used to identify you personally.

Are Cookies or Other Technologies Used to Collect Personal Information?

This website works without any cookies that track you.

When you first visit, we ask whether you are happy for us to use analytics and advertising cookies. If you accept, we use:

  • HighLevel website tracking.

Website tracking. If you accept analytics cookies, a HighLevel tracking script records which pages you visit, so we can understand which pages lead to enquiries. It does not load if you decline.

If you decline, none of these are loaded. We store a record of your choice in your browser so we do not ask you again on every visit. You can change your mind at any time by clearing this website's data in your browser, and you can also control or delete cookies through your browser settings.

How Does Derek Elder Use Personal Information?

We use your personal information to:

  • Reply to your speaking enquiry or your message.
  • Give you the results of any free tool you use, such as the Identity Gap Finder or the Dopamine Audit.
  • Send you occasional emails about our work, where you have agreed to this.
  • Meet our legal and accounting obligations.

If you use one of our free tools, we ask for your name and email address before showing your results. For the Identity Gap Finder we also keep your answers and your score. For the Dopamine Audit we keep your overall score and your score for each section, but not your individual answers. Your results are shown on screen. The Dopamine Audit also lets you save them as a PDF, which is created in your browser and not sent to us. Some answers may touch on how you are feeling, such as stress, anxiety, or self doubt. You never have to share anything you are not comfortable sharing. Where you choose to share it, we use it only to provide your results and to respond to you, and we rely on your explicit consent to do so.

Booking a call. The booking calendar on this site is provided by HighLevel, the system we use to manage enquiries and appointments. When you book, the details you enter are stored there so we can confirm and manage your appointment.

Free resources. When you ask for Magnetic to Money, we use your name and email address to send you access to it. You are only added to our newsletter if you tick the box asking for it.

Clients: the Client Portal

If you become a client, you get a private Client Portal for our work together. In it we keep your account details, your onboarding answers, our coaching agreement, and what you write and track there, such as your daily practice, Weekly Reflection, journal, vision, goals and habits, along with your sessions and anything I share with you.

Who sees it. Only you and Derek. Derek can always see your scores and streaks. Your written entries stay private unless you choose to share them.

Health information. The onboarding form asks about anything relevant to your health. This is only kept with your explicit consent, given by ticking a box, and is used only to prepare for and deliver our work together.

Your client record. Your name, email, phone number, programme details and your answers to the first three parts of the onboarding form are also kept in HighLevel, our client management system. Nothing else you write in the portal goes there.

Sharing results. Your results are never shared unless you switch on "Sharing your results" in the portal's Settings. If you do, we may share the change in your scores without your name. You can switch it off at any time.

How long we keep it. Your portal is kept for as long as we work together and for up to two years afterwards, so you can come back to it, unless you ask us to delete it sooner. Records we must keep for legal and accounting reasons, such as our agreement and payments, are kept as described below.

Your choices. You can download everything you have entered at any time from the portal's Settings. You can ask us to correct or delete your information, and we will delete your portal and your HighLevel record.

Cookies in the portal. The portal only uses the cookies it needs to keep you signed in, and a small note on your device so the sign-in page can welcome you back. It does not use advertising or tracking cookies. Notifications are only sent if you allow them, and you can turn each type off.

Under UK data protection law, we process your information on the basis of your consent, our legitimate interest in responding to your enquiry and running our business, the performance of a contract where you become a client, and our legal obligations.

We keep enquiries and messages for up to 24 months after your last contact with us, unless you become a client. Client records are kept for up to 6 years after our work together ends, for legal and accounting purposes.

Does Derek Elder Share Personal Information with Others?

We never sell or rent your personal information. We share it only with trusted service providers who help us run our business, including:

  • HighLevel (also known as GoHighLevel), for storing enquiries and contacts, our booking calendar, email and text messaging, and website tracking where you have accepted cookies.
  • Google Fonts, which supplies the typefaces used on this website.
  • Cloudflare (cdnjs), which supplies the tool the Dopamine Audit uses to create your PDF.
  • Supabase, which stores the Client Portal's data, logins and files in London.
  • Resend, which sends emails from the Client Portal, from the EU.
  • Zoom, for our client sessions.

These providers only use your information to provide their services to us. Some are based outside the UK, including in the United States. Where your information is transferred outside the UK, we make sure appropriate safeguards are in place.

We may also disclose your information where required by law, or to protect our rights or the safety of others.

How is Personal Information Used for Communications?

We may contact you by email or phone about your enquiry or message. If you give us your phone number and agree to receive text messages, some messages may be sent automatically. You can opt out of text messages at any time by replying STOP.

Sending us an enquiry or a message does not add you to a marketing list. Where you have separately agreed to receive marketing emails, you can unsubscribe at any time using the link at the bottom of any email, or by contacting info@derekeldercoaching.com.

How is Personal Information Secured?

We use reputable service providers and take reasonable steps to protect your personal information from loss, misuse, and unauthorised access. No method of sending information over the internet is completely secure, but we work to protect your information and limit access to it.

Public Discussions

If you share information in public places, such as comments on our social media posts, that information can be seen by anyone. Please be careful about what personal information you share publicly.

How Can a User Access, Change, and/or Delete Personal Information?

Under UK data protection law you have the right to:

  • Ask for a copy of the personal information we hold about you.
  • Ask us to correct information that is wrong or incomplete.
  • Ask us to delete your information.
  • Ask us to restrict or stop using your information, including for marketing.
  • Ask for your information to be transferred to another organisation.
  • Withdraw your consent at any time.

If you are unhappy with how we have handled your information, please contact us first so we can put it right. You also have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk or on 0303 123 1113.

Children's Privacy

This website and our coaching are intended for adults. We do not knowingly collect personal information from anyone under the age of 18. If you believe a child has given us their information, contact us and we will delete it.

We may update this policy from time to time. Any changes will be posted on this page with a new "last updated" date.
